Occupella ("Occupella," "we," "us," or "our") is an AI-powered assistant for property managers. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to the Occupella application, our websites, and our text-messaging (SMS) program.
1. Information we collect
- Account information — your name, email address, company name, and role, provided when you or your company creates an account.
- Property-management data — information synced from systems your company connects to Occupella (such as Buildium), which may include property, lease, tenant, owner, vendor, work-order, and financial records. Your company controls this connection and can disconnect it at any time.
- Connected Google services — if you choose to connect Gmail, Google Calendar, or Google Drive, we access that data only with your authorization and only to provide the features you use. Occupella's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
- Messages and content — chat conversations with the assistant, documents you upload, and messages you draft or send through the service.
- Mobile phone numbers and SMS consent — if you enroll in our text-messaging program, we collect your mobile number and a record of your consent (see Section 3).
- Technical and usage information — log data, device and browser information, product-usage analytics, and error reports used to operate, secure, and improve the service. To do this we store identifiers in your browser’s local storage and record which pages you opened and which controls you used — the structure of what you interacted with, never the text on the screen, so the tenant and owner details in your account are not captured. We do not record your screen. There is no session replay in Occupella: no video, no reconstruction of what a page looked like while you were on it. You can turn analytics off at any time in Settings → Account → Product analytics; the choice is remembered on that browser.
- Our public website, before you have an account — on occupella.com we count page views and clicks on the setup link, so we can tell where people arrive and where they stop. That is a narrower collection than the one above: those two things only, rather than every control you use — nothing you type, and none of it used for advertising. If your browser sends a Do Not Track signal we collect nothing there. The Settings control named above governs this product; it is stored per browser and per site, so it does not reach the public website.
- Which business is visiting our public website — on occupella.com we use Apollo, an analytics provider, to work out which company a visitor is from. Their IP address is shared with Apollo for that purpose and Apollo may set a cookie. It tells us something like “someone at a property-management company read the pricing page”. It is not needed to use the site and can be switched off from the Do not track my visit link in that site’s footer, and it does not run at all for a browser sending Do Not Track or Global Privacy Control. This applies to the public website only — it is not used inside the product.
2. How we use information
- To provide, operate, secure, and improve the Occupella service.
- To process your requests with AI models operated by our service providers. Content is processed solely to provide the service; we do not permit our AI providers to use your content to train their models.
- To send service communications you have requested, including SMS messages if you have opted in.
- To comply with legal obligations and enforce our Terms of Service.
3. SMS / text-messaging privacy
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with any third parties, excluding vendors and service providers that assist us in the delivery of text messages. Mobile information will never be sold.
- We send SMS messages only to individuals who have opted in to receive them. Messages include customer care and account/operations notifications such as rent reminders, maintenance updates, and appointment confirmations.
- Message frequency varies depending on your account activity and preferences.
- Message and data rates may apply.
- You can opt out at any time by replying STOP to any message. Reply HELP for help, or contact us at the address in Section 9.
- Your mobile number is used only for the messaging program described here and is shared only with the messaging platform that delivers our texts on our behalf.
- How consent is obtained and recorded — including the verbatim language a recipient agrees to — is set out in full on our SMS Program & Consent page.
4. How we share information
We do not sell personal information. We share information only with:
- Service providers that host and operate the service on our behalf — cloud hosting and databases, AI model providers, SMS delivery, email delivery, analytics, and error monitoring — each bound by confidentiality obligations and permitted to use the data only to provide services to us. Each one is named, with what it does and what it can see, on our Subprocessors page.
- Systems you connect — when you take an action (for example, updating a work order in Buildium or sending an email through your connected Gmail account), the relevant data is transmitted to that system at your direction.
- Legal requirements — when required by law, legal process, or to protect the rights, safety, or property of Occupella, our users, or others.
5. Data retention and deletion
We retain personal information for as long as your account is active or as needed to provide the service, comply with legal obligations, and resolve disputes. You or your company administrator may request deletion of your account and associated personal information by contacting us (Section 9).
Synced integration data. When your company disconnects a connected system (such as Buildium), we immediately and permanently delete the data synced from that system — including the property, lease, tenant, financial, and maintenance records mirrored from it and the analytics we computed from them. SMS consent and delivery records are retained as required for messaging-compliance evidence. Content your team created in Occupella (such as conversations and uploaded documents) is retained until you delete it or close your account.
6. Security
We use industry-standard safeguards, including encryption in transit and encryption at rest for stored credentials and secrets. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your choices and rights
- Access, correct, or delete your account information by contacting us.
- Disconnect integrations (Buildium, Google) at any time from Settings.
- Opt out of SMS at any time by replying STOP.
- Turn off product analytics for a browser at any time in Settings → Account → Product analytics. Nothing else about your account changes.
- Depending on where you live, you may have additional rights under applicable privacy laws; contact us to exercise them.
8. Children
Occupella is a business tool and is not directed to children under 13 (or the applicable age of digital consent). We do not knowingly collect personal information from children.
